Aerospace Industry - Publications Assistant for the Communication Division

XPERIENCIA GmbH develops digital visual communication solutions, which enhance the Marketing and Education of companies and institutions. XPERIENCIA currently works closely with International Organisations across Europe to assist them in their Marketing and Communication needs.

On behalf of one of our client - a large International Organisation working in the Aerospace industry in DARMSTADT, we are looking to fill the following position:
Publications Assistant for the Communication and Information Services Division

The right candidate is required to carry out the following tasks:
1) Support to publication preparation
- Exercising configuration control of all print publications (brochures, reports and newsletters) to ensure that all updates are correctly implemented and the life-cycle of the publication is documented accordingly
- Ensuring that elements required for the final production (e.g. content, images, image captions etc.) are available on time
- Coordinate feedback and edit content accordingly
- Exercising final proofing and style-checking of documents according to the official Corporate Identity style rules
- Ensuring that language versions of the publications and other products are available on time where relevant, liaising with the translators to secure timely delivery of translations.
- Collating the content for Proceedings of Conferences with the help of the Online Conference Tool.
- Monitoring of the final internal approval process
- Supporting the production of Conference Proceeding CDs/DVDs
- Production of other relevant communication material.

2) Coordination of publications for printing
- Support the coordination of the production of print publications
- Support the procurement of printing services and liaise directly with the selected print supplier.

3) Managing publication stock & publication distribution
- Managing the stock and supplies of brochures - recording deliveries and distribution in the Excel Spreadsheet
- Support the distribution of publications both internally and externally using the appropriate distribution lists provided.

The right candidate should have minimum of three years experience in publication related administration and coordination. A high attention to detail, the capability to adhere to quality standards even when under pressure to keep a deadline, as well as a proven track record of organisational skills is essential. Additionally, the consultant should have an excellent knowledge and practical experience of the publication production process.

Experience in customer and supplier liaison is a must, and he/she should be fully accustomed to the elements of service delivery and possess the necessary interpersonal skills to handle a wide variety of internal customers as well as external suppliers.

In order to be able to deliver the proofing and style checking related tasks the consultant must have an excellent command of the English language. A very good knowledge of German – in order to be able to communicate with external suppliers - would be valuable and knowledge of French would be desirable.

Experience in the use of computer packages for text processing and updating as part of the Desk Top Publishing Process is essential. Special value is also placed on the experience in collecting, developing and managing illustration input for publications. Previous experience working in an international organisation is desirable. Familiarity with the space industry, satellite operations, or a related discipline would be a distinct advantage.

Start date: March 2009
Duration of contract: One year with possibility of extension for up to three years in total.
